Your Privacy
Duncan Road Church respects your privacy and will never knowingly pass on or sell your details to third parties for any purpose not specifically agreed upon, except where required to by law. We only ask for details that we need to know. It is entirely at your discretion if you wish to tell us anything else. No personally identifiable information is gathered without your consent, to comply with GDPR (General Data Protection Regulations May 2018).
You have the right to withdraw consent for the use of your personal data. We will alert you to any impact where personal data is necessary for the performance of a contract or provision of a service.
Any requests to withdraw consent to use personal data should be made to our Data Controller as per the details below.
Data Privacy Notice
- Your personal data
Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”) which became effective from May 2018
We may hold your personal data as electronic or paper records. - The Data Controller
The Elders of Duncan Road Church are the Data Controller and can be contacted by e-mail to office@drchurch.info. This means they decide how your personal data is processed and for what purposes. - Processing your personal data
Duncan Road Church complies with its obligations under GDPR by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure, and by ensuring that appropriate technical measures are in place to protect personal data.
We do not have a Church office, nor a central computer system, therefore personal data will be held by authorised and responsible members of the church who will be monitored to ensure that data is only processed in accordance with the Church’s data protection policy.
We use your personal data for the following purposes: -
- To hold contact details enabling us to respond to an emergency.
- To administer records of those who are recognised as members and of those who are regular attenders and wish to be recognised as 'friends'. These may be used as part of the Church’s pastoral support.
- To inform you of news, events, activities and services running at the Church or connected with it.
- To maintain our own financial accounts and records including the processing of gift aid applications.
- To meet our regulatory obligations eg accident reporting, safeguarding of children and others, and health and safety.
- The legal basis for processing your personal data
We will seek your explicit consent so that we can process and retain your personal data. This consent may be withdrawn at any time.
We will also process and hold personal data where it is necessary for carrying out legal obligations in relation to Gift Aid or under employment, social security or social protection law. - Sharing your personal data
Your personal data will be treated as strictly confidential and will only be shared with other specific members of the church for purposes connected with the church and its activities. We may ask for your consent for your personal data to be included on the Church Members and Friends Address and Prayer Guide that is updated on an ad-hoc basis and will be available to individuals included in the Guide via e-mail or printed booklet. We will not share your data with third parties unless there is a lawful requirement for us to do so. - Retaining your personal data
We will only keep your data for as long as is necessary if related to a church activity. For example, contact details relating to holiday club attendees will be deleted within 1 month of the end of the activity. Gift aid declarations and associated paperwork will be retained for up to 6 years after the calendar year to which they relate. Other data will be reviewed at least annually to ensure it is not held for longer than necessary. - Your rights and your personal data
Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data: -- The right to request a copy of your personal data which Duncan Road Church holds about you;
- The right to request that the Church corrects any personal data if it is found to be inaccurate or out of date;
- The right to request your personal data is erased where it is no longer necessary for the Church to retain such data;
- The right to withdraw your consent to the processing at any time;
- The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
- The right to object to the processing of personal data;
- The right to lodge a complaint with the Information Commissioners Office.
- Further processing
If we wish to use your personal data for a new purpose, not covered by this Data Privacy Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing. - Contact Details
